    ‘First Impressions Really Matter’: The Role of Clear Communication in Property Management

    From the very first interaction, the way information is shared with homeowners can shape perceptions and build trust. Strong communication lays the groundwork for successful property management, particularly when it involves managing a new build development.

    For many people, moving into a new home is both exciting and overwhelming. In addition to the practicalities of settling in, there are often questions about why homeowners pay a service charge and when they will receive their first bill.

    Rikki McMachan, South West Operational Director at FirstPort, the UK’s leading property management company, explains: “First impressions really matter when we take on management of a new development. Residents are trying to navigate a lot of new information, so it’s our responsibility to ensure everything is explained clearly, consistently, and in a way that’s easy to understand.”

    One of the most important aspects of a successful onboarding process is explaining the role of the property manager early on in the process.  

    Resident meetings play a key role in this. They provide an open forum where residents can ask questions, seek clarification, and gain a better understanding of how their development is managed. These meetings also create an opportunity for property managers to address common concerns in a consistent and transparent manner.

    Rikki adds: “Setting up resident meetings early after taking on a development gives us a valuable opportunity to connect directly with residents.

    “They allow us to listen, explain processes and how service charges work, and residents also get to know the people managing their developments beyond written the communication.”

    Resident meetings are a valuable opportunity to clarify what a service charge is in an open and accessible way. By breaking down how charges are structured, what they cover and how they are allocated, property managers can help residents feel informed and confident about how their money is being spent.

    When residents understand that their contributions support essential services like maintenance, health and safety, and improvements to shared spaces, it reinforces the value that these services bring to their homes and community.

    Rikki explains: “For us, clear communication is about helping residents feel confident, informed and supported from the very beginning of their journey with us.

    “When people understand what their property management company does, how service charges are structured, and exactly what their contributions go towards, it creates a stronger sense of trust and reassurance.

    “Transparency is central to everything we do, and we’re committed to making sure residents have a clear view of how their home is cared for and how decisions are made.”

    At the heart of successful property management is resident engagement. Maintaining open and consistent lines of communication beyond the initial onboarding process demonstrates that resident voices are heard and valued.

    Regular updates, accessible communication channels, and ongoing engagement initiatives all contribute to stronger relationships between residents and property managers.

    “Building trust doesn’t happen overnight,” explains Rikki. “It’s something we develop over time by being transparent, responsive, and genuinely committed to supporting our residents.”

    As developments take shape and communities evolve, clear and ongoing communication ensures residents feel supported and understand the important role their property manager plays.
