Identity Verification for Flat Management Company Directors: What You Need to Know

    0
By Companies House on November 18, 2025 Industry News, News

If your flat management company is registered with Companies House, from 18th November 2025 all of your directors and people with significant control (PSCs) will need to verify their identity before filing your next confirmation statement.

Companies House has designed its identity verification processes to be simple, secure and robust using existing forms of identification, such as a passport or driving licence.

You should complete verification now to avoid delays or filing disruptions later.

    Does this apply to you?

This requirement applies to all company directors, including those of flat management companies.

If you are a director or person with significant control of a flat management company, including Right to Manage companies, you need to verify your identity with Companies House.

    How to verify your identity

There are two routes through which to verify your identity:

    1. Verify directly with Companies House online.

You can verify your identity using our online service at no cost. This service uses GOV.UK One Login.

GOV. UK One Login will ask you a few simple questions to work out the best way for you to verify your identity online. The options available may depend on your device, whether you have photo ID, and the type of ID you have.

Don’t worry if this sounds complicated. The service will guide you through the process using clear steps, and you can ask someone to help you. Read the ‘Getting support to verify your identity’ section below for more details on this.

    • Use a professional to verify your identity for you.

Authorised Corporate Service Providers (ACSPs) are individuals or organisations that undertake anti-money laundering supervised activity, such as:

    • company formation agents
    • accountants
    • solicitors
    • chartered secretaries and governance professionals

They can verify your identity and inform Companies House of the checks they have carried out. They will let you know which ID documents you can use. They may charge for this service.

If you already use an accountant or solicitor who has registered as a ACSP, you can ask them if they can verify your identity on your behalf.

You can find a list of registered ACSP’s on the Companies House website.

What happens after you verify your identity?

Once you’ve verified your identity, you will receive a personal code. Make note of this code and keep it safe. You will also be able to view it in your Companies House account, or you will receive it via email if you verified using an ACSP.

You’ll need to provide your personal code to companies House when required from 18th November. The Companies House register shows your specific deadline for each role you hold.

If you’re a director or PSC of multiple flat management companies, you’ll need to provide your code for each company separately.

    Getting support with identity verification

If you need help completing identity verification, support is available.

    • Online guidance – Companies House has guidance on GOV.UK with detailed information about identity verification. You can print this guidance if you would rather have a hard-copy.
    • GOV.UK One Login support – if you’re using the online verification service and need technical help with GOV.UK OneLogin, you can access support through the GOV.UK OneLogin help pages.
    • Companies House contact centre – You can contact Companies House directly if you have questions that aren’t covered by our guidance.
    • An agent or accountant – if you already use the services of an agent or an accountant, they can verify on your behalf if they register as an ACSP. Or, they may be able to point you in the direction of an ACSP within their network. They may charge for this service.
    • A family member, friend or colleague – you can ask a family member, friend or colleague to help you verify your identity using our online service. They could lend you a device such as a smartphone, help you take photos of your ID, or guide you through the steps.
    • Support from a charity – some charities, such as AbilityNet and Age UK, offer digital support for those with less confidence using technology. They may be able to help you to verify your identity.

Why flat management companies should complete verification early

Completing verification early provides several advantages:

    • provides time to check that your details on the register match those on your ID
    • allows time to make sure you have the appropriate ID documents ready
    • prevents last minute complications during busy filing periods
    • ensures you’ll be able to file your company’s confirmation statement on time
    • avoids potential disruptions to your company’s legal obligations and ability to manage the property effectively.

What happens if you don’t verify?

If you do not verify your identity on time:

    • Companies House may take enforcement action against you and your company
    • You could face prosecution or a fine

Identity verification checklist for flat management company directors

    • If you’re a leaseholder director serving on your flat management company’s board, ensure you understand this requirement applies to you
    • Share this information with other directors and PSCs within your flat management company, and ensure they also understand they must complete identity verification
    • Choose how you’re going to verify your identity and do it now to avoid delays later
    • Keep your personal code safe and remember to share it with your agent/accountant if they file on your behalf
    • Check when your flat management company’s next confirmation statement is due to make sure you’re prepared
    • Check all the company roles you hold, so you’re clear what’s required and when for each company
    • Check that your company has the most appropriate SIC code by searching our condensed list of SIC codes. If you need to update it, you can do this when you file your next confirmation statement.

    Need more information or support?

For more information, you can visit the Changes to UK Company Law website. You can also find more guidance about identity verification on GOV.UK. You can print these pages out if you would rather read through the information on paper.

You can sign up for email updates to receive the latest news and information.

There are also charities who are able to offer digital support, such as Ability Net and Age UK. If you already use a digital support service, ask if they can help you complete identity verification. Local hubs and libraries may also be able to help you.

If you still have a question, you can call Companies House on 0303 1234 500, or email [email protected].
