    Visibility

    What type of client reports are available?

    Qube PM has more than 400 standard reports which can be scheduled to be sent internally or externally. It also possesses:

    • Dedicated income / expenditure analysis tools that allow users to create their own reports
    • A system-wide report-building tool
    • Highly configurable client statement tool with numerous customisation points

    What information can residents see?

    Residents can access key information and documentation via our integrated customer portal offering. This includes service charge ledgers and details, maintenance overviews, all pertinent documents, block-specific content that is fully configurable by the client, unique offers and a forum so residents can engage with each other.

    What information can directors see?

    Qube PM has routes for director access that can show all outstanding maintenance issues, block financials, key saved reports and many other pieces of system data. This view can be tailored by the client.

    Accounting & Finance Functions

    • Automated service charge and ground rent collections, aligning with industry best-practice
    • A full set of budgeting tools, with Excel integration if required
    • Production of statutory accounts for service charge year-ends
    • Management of varying apportionment schedules, balancing periods methods and fixed fees
    • Accurate and complete income and expenditure account reports
    • Effective credit control and debt recovery
    • Full accounts including P&L and balance sheet
    • Banking controls to meet legislative requirements
    • VAT reporting and Making Tax Digital submission service

    Does the software manage service charge demands?

    Yes, Qube PM is used to process more service charge demands than any other block management system. Our outputs are configurable and can be combined for scenarios where there are block and estate charges, ground rent charges and any other regular chares to leaseholders.

    Insurance & Valuations Functions

    Users can store and manage all info relating to insurance policies. For valuations, again clients can coordinate and hold all information and documents relating to valuations. MRI also has a dedicated valuations solution, which can work with and leverage data from Qube PM.

    Maintenance Functions

    Qube PM has an integrated maintenance management module which allows users to manage reactive and planned works, along with contracts spanning multiple properties. The module also has an asset register, allowing for powerful granularity when tracking jobs and spend.

    What time-saving automations are available for Property Managers or RMC Directors?

    Using our workflow module, clients can automate and trigger processes from within the system. This can cut down on times for tasks like invoice approvals, correspondence and many other general processes like running reports and chasing arrears. Qube PM also has advanced service charge processing capabilities that create significant time savings at year-end by automating the gathering of service charge invoices for audit.

    Our self service portals drive automation of requests, receipts for payments and the journey from maintenance request to works order.

    Can site inspections be completed using the software?

    Yes, Qube PM has an integrated configurable site inspection app. This can trigger follow up jobs in Qube PM and produce PDF inspection reports

    Integration

    What other software can be integrated with yours?

    MRI Software’s central ethos is one of openness and connectivity, and we enable many integrations for our clients. Qube PM connects to various applications in the MRI suite including a customer portal option, fixed asset accounting, AI data analytics, asset management and scenario modelling.

    We also have a number of integrations with industry Partners including Fixflo, Dwellant, ZetaSafe, insightsoftware and Proactis.

    Modular

    Are there core and additional modules with add-ons?

    There is a core set of modules for block management that cover the main areas of property operations, client accounting and customer engagement. However, some clients require additional capability so we do offer additional modules. Examples of these are our customer portals, inspection app, on-site Manager Hub, AI document digitalisation, a lettings front-end, and our various Partner integrations.

    Is the software RICS / ARMA Compliant?

    Yes, MRI is an associate member of both groups and takes guidance from these organisations when developing functionality that is relevant to the block management sector.

    Accessibility

    Is there a mobile app or leaseholder portal?

    Yes, Qube PM has some built-in portal functionality for end customers – and also integrates with a suite of customer portals for an advanced offering. Using our solution, clients can offer a range of self-service options including document access, repairs requests and online payments.

    Our in-house Portal MRI Engage has additional functionality that can be incorporated to improve your service offering. Examples are a forum to allow residents to interact, fully customisable help guides and information pages, personalised offers for residents and live news pages.

    Can residents report repairs and faults?

    Yes, through integrated apps and portals, residents can report repairs and faults (among a number of self-service options) with the resulting maintenance jobs fully automated, tracked and managed through the system. We integrate with Fixflo to provide an additional level of diagnostic capability for clients that require this.

    Pricing

    How does the pricing work?

    Qube PM is sold on a user-based annual subscription. We have a base fee that covers hosting, the software itself, client support and free software updates. Clients can then add additional modules, such as resident portals or inspections apps, and then also add users as their requirements change.

    Is there a cost per unit? Per block, etc

    Qube PM is priced on a per-user basis.

    New Clients

    How is data migrated from an existing provider?

    As a technology provider, MRI has performed data migrations for the largest block management companies in the UK – as well as hundreds of smaller firms. We have a number of tools at our disposal to ensure that migration is as cost-effective as possible.

    For larger clients, we have a tried-and-tested migration methodology where clients can map their data to Qube PM and have MRI services teams import and validate. For leaner organisations, MRI has self-service spreadsheet-based tools that allows clients to get core data into the system themselves in a matter of minutes.

    What support and training is available?

    MRI has a training-led implementation that instils in-depth system knowledge to project teams during implementation. This knowledge is then supplemented by in-system context-specific help guides, a customer portal with regularly updated content and a fully staffed UK-based Support team that can be reached by via the portal and on the phone.

    We also run regular ‘Spotlight’ to engage clients with new functionality and provide best-practice tips and tricks on existing functionality to drive better use of the system. All clients have a dedicated Account Manager to help them maximise their investment.

    As our business and portfolio is expanding so quickly, taking on bigger and more complex blocks and estates, we need to ensure that our software management systems are up to the task to be able to allow us to continue our rapid expansion plans.
