    Overview

    Cleverly is a complete property maintenance and facilities management solution providing users with a better way of handling reactive and planned maintenance as well as quote management, compliance and project works.

    Key Features & Benefits

    Cleverly provides multi-stakeholder access via its web and mobile apps. Property managers, suppliers and residents/tenants can each be provided with their own logins to ensure that each has access to the single source of truth. Use Cleverly’s no code workflow automation to route work orders, notifications and chasers to customers, colleagues or contractors.

    Cleverly also provides you with compliance and planned maintenance scheduling that advises contractors of upcoming attendances and notifies you if anything is missed, along with providing real-time compliance scores and contractor management. With the reservation module, residents can also book (and see calendars for) communal spaces or assets such as meeting rooms, tennis courts, parking spaces etc. – with or without payment. Cleverly also integrates with IoT sensors so that work orders can be automatically generated based on thresholds set within the system.

    What type of client reports are available?

    Cleverly tracks more than 50 data points and metrics that can be customised to suit your needs. These include spend levels, contractor performance standards, compliance satisfaction and more. Data can be filtered based on sites, suppliers or users ensuring that you get the granularity you need.

    What information can residents see?

    Residents can report issues via their web portal and be notified of changes in job status such as contractor appointments or resolution. By default, residents cannot see spend levels or supplier costs but this can be turned on if required. With the reservation module, residents can also book (and see calendars for) communal spaces or assets such as meeting rooms, tennis courts, parking spaces etc. – with or without payment.

    What information can directors see?

    Directors, as admin users, can see all the information related to their maintenance. This includes supplier compliance and accreditation, all maintenance and spend history and true cost information.

    Functionality

    Accounting & Finance Functions

    Cleverly has a finance module that allows you to take payments, reconcile remittances, produce invoices and generate client statements. Cleverly can also integrate with third party finance packages such as Sage.

    Maintenance Functions

    Yes. Cleverly handles all aspects of maintenance including planned and reactive maintenance, project works and quote management.

    What time-saving automations are available for Property Managers or RMC Directors?

    Cleverly offers no code workflow automation that can route work orders or advise the relevant parties of events within the system or based on timings that you set. In addition, you can use external data sources such as IoT sensors or platforms to generate work orders to suppliers. These can be the result of thresholds being breached – for example a temperature level, leak detection or a tenant leaving prompting a cleaning job.

    Can site inspections be completed using the software?

    Standard jobs such as site inspections can be added to the system and configured to ensure that the correct information is recorded on each visit. Records are then automatically stored within the system.

    How does the pricing work?

    Cleverly Core (CAFM) starts at £2,000+VAT per month with unlimited properties, assets, customers, residents. Additional modules such as IoT sensors, payments, reservations etc. are priced on top but are available as packages.

    Accessibility

    Is there a mobile app or leaseholder portal?

    Yes, there are both.

    Can residents report repairs and faults?

    Yes.

    New Clients

    How is data migrated from an existing provider?

    Depends on the current solution. This is part of mobilisation and is done either by a data export, sync, SQL query or any other means (including manual data entry if required)

    What support and training is available?

    Training is provided as part of implementation and mobilisation. Support is provided 24/7 as part of the licence fee.
